Operations Assistant – Distribution

Under the supervision of the Cognella Director of Operations, the distribution assistant will be responsible for overseeing the physical assets of the company, including placing purchase orders, receiving inventory, locating stock in appropriate and identifiable locations, confirming physical returns against RMAs or other criteria, overseeing picking and packing process for inventory accuracy, and adjusting system inventory to promote an accurate and reliable inventory value. Most of our inventory is not kept in-house, and this position requires strong computer skills to manage virtual inventory at our manufacturing partners. As a member of the operations team, this position will be cross-trained on answering customer service calls and may be required to answer phones as needed during the busy season or to back up staff vacancies. In addition, this person will be the internal office contact for the operations department, responsible for inter-department emails, office supplies, and light facilities maintenance.


  • Receive all inventory, including purchased products, returns, and third-party materials
  • Re-stock inventory and create locations as needed
  • Manage all customer orders and ensure virtual POs are received and processed by third-party vendors
  • Monitor internal operations email and respond directly or forward messages to appropriate parties
  • Pick orders from inventory and prepare packages for shipment
  • Keep warehouse clean and locations in order
  • Act as courier for local deliveries as needed
  • Monitor office supplies and order as needed
  • Perform light facilities maintenance as needed, act as primary contact for outside facilities vendors


  • Computer literate – must be competent with keyboarding and basic Microsoft Office applications. Experience with Excel and Access preferred.
  • Ability to work well under pressure and multi-task effectively
  • Must be able to lift 40 lbs regularly
  • Must have own reliable transportation
  • Must be able to work effectively and productively both independently and with a wide variety of people in an environment of rapidly changing deadlines and priorities
  • Strong written and verbal communication skills

Location: This position is based out of our corporate office located in the Sorrento Valley area of San Diego, California. Relocation assistance is not available for this position.
