Administrative Associate

Cognella, Inc. is immediately seeking a full-time, well-rounded Administrative Associate to join our close-knit accounting and administrative team. In this support role, you are a Jack/Jill-of-all-trades, helping with all facets of office management, human resources, and accounting. You could be a great fit if you possess natural communication skills, an aptitude for learning systems and procedures, and a love of math. Additionally, you must be organized, efficient, and have a passion for details. Responsibilities include but are not limited to:

  • Clerical Accounting – Provide a variety of accounting clerk responsibilities including A/R, heavy A/P, payroll – time preparation, client statements (including some collection work), credit card reconciliations, and other accounting tasks as needed.
  • Human Resources – Implement human resources policies and procedures, including new team member forms, orientation, benefits, and other general office paperwork. Work with department managers on any recruiting needs, including job postings and basic applicant screening. Help organize office events and other employee perks that keep our team happy.
  • Office Management – Fully maintain the office appearance (including managing the third-party cleaning crew), keep the corporate filing system (both digital and paper) fully organized, purchase supplies, and manage all equipment (printers, coffee machine, water cooler). Provide additional administrative support and tasks as needed.

Qualifications:

  • Accounting Associate, Office Manager, or Human Resources Associate background, with 2+ years of experience preferred; proven success delivering quality work, making an impact, and hitting deadlines
  • Working knowledge of QuickBooks with some A/R and A/P experience required
  • High proficiency using computer software including Microsoft Office (Excel and Word) and other Windows based applications
  • Exceptional organizational skills with proven ability to prioritize multiple daily tasks and long-term projects to meet deadlines, ensure efficient workflow, and effectively navigate competing responsibilities
  • Good interpersonal and communication skills, including the ability to present information clearly (written and verbal) one-on-one
  • Ability to investigate, interpret, and analyze information
  • Hard-working with exceptional attention to detail
  • Team player who can work effectively with other departments
  • Desire to be in an entrepreneurial company where self-initiative, problem-solving, and customer centricity are valued
  • Willingness to invest in a positive and engaged company culture
  • Undergraduate degree in related field is preferred, but not required

Compensation: Wage ranges based on assigned professional levels and experience. Junior Professional Level I starting wage ranges from $40,000/yr to $45,000/yr with some flexibility based on experience.

Cognella also provides a comprehensive and competitive benefits package for full-time employees. We offer a health, vision, and dental plan at a 70% contribution match for the individual; generous vacation with Cognella’s flexible vacation policy of non-accrued paid time off; holiday (12 holidays/year); sick time (10 days/year); and 401K matching plan (4% match on the first 5% of an employee’s annual compensation after one year of employment (100% match of the first 3% and 50% match from 3%-5% of an employee’s annual compensation)); and anniversary, wellness, public transportation, and educational programs.

Status: Full-Time, Non-Exempt

Start Date: Immediate

Location: Solana Beach (San Diego County), CA. Daily in-office schedule with possible hybrid/telecommuting schedule after ramp-up and goal attainment.

Although Cognella currently embraces a hybrid remote/in-office work schedule for employees in San Diego County that balances the flexibility of telecommuting with the benefits and necessity of in-person work and collaboration, each role and department is different. Cognella reserves the right to change its telecommuting, remote, or hybrid work policies at any time. In order to successfully work remotely, employees must provide a proper home workstation set-up which includes internet connectivity and a workspace large enough to accommodate dual monitors, laptop, and accessories that is free from distractions.
